Public record requests
Requests for records pertaining to public information, under Texas Government Code Chapter 552 – Public Information Act (PIA), must be sent to the City Secretary’s Office for processing.
Public record requests under the PIA must be in writing and ask for records of information already in existence. The Act does not require a governmental body to create new information, to do legal research, or to answer questions. Although the Act makes most government information available to the public, some exceptions exist.
Under the PIA, all governmental bodies responding to record requests for information have the responsibility to provide requested records of information promptly OR inform the requestor if the record of information will not be provided within ten (10) business days and give an estimated date on which the public records will be provided. Note: "promptly" means "as soon as possible under the circumstances, that is, within a reasonable time, without delay".
The City Secretary’s Office will need the following to process a public record request for information under the PIA:
- A request in writing whether sent by regular mail, email, or dropped off at City Hall
- Specific information identified in the request to include date parameters, if applicable
- Contact name and phone number
Public record requests, sent by mail, email or delivered to other staff within the City, can be processed as time permits. For these record requests, please refer to the City’s Master Fee List as copy and processing charges may apply.
